Effective content management requires clearly defined roles and documented workflow for all forms of content. This includes review and approval processes and clear interdepartmental document flow. The tool should enable companies to manage their valuable information assets as reusable components, allow users to control access to information, check in and check out, collect revision information, and most importantly, reuse information. Access controls allow users to have specific privileges for modifying and viewing the content. Document check-in and check-out process assures the document version control - to assist in collaboration, users can check out information and be assured that no one else can make edits until it is checked in again. At each check in, revision information indicating time, date, and author is automatically collected and stored by the system.
